DEPARTMENT: Special Events

REPORTS TO: SVP, Special Events

STATUS: Full-Time; Non-Exempt

Your role as an Executive Assistant to the SVP, Special Events:

You will provide daily administrative support to the Senior Vice President, Special Events and the Special Events Department. You will perform a variety of clerical duties, including but not limited to executive calendaring, departmental expense reports, paperwork organization, client gifting, assisting with special projects, arranging travel, and partnering with both internal and external clients.

All the responsibilities we will trust you with:

Exemplifying our Padres Core Values/Mission Statement: Communication and Collaboration, Progress and Innovation, Accountability and Integrity, and Effort and Results, through building meaningful connections with a diverse fan base and serving as impactful leaders in the San Diego community
Performing administrative and project support duties, utilizing independent judgment, considerable discretion, initiative, and tact
Maintaining discretion of information that may be sensitive in nature with executive leadership within the Padres organization, Special Events department, the baseball community and the general public
Providing general administrative support for SVP and department leaders, including but not limited to making copies, filing, running errands, ordering and picking up lunches, booking appointments and other tasks as assigned
Providing clerical assistance for the SVP and the Special Events department, including screening incoming calls, mail, calendar appointments and faxes. Receiving and responding to all internal and external communications in a timely manner
Composing correspondence and other communications, including emails and letters, on behalf of the SVP and Special Events department
Managing department paperwork and expense reports for the SVP and the Special Events department
Assisting with special projects related to the department as assigned by the SVP, Special Events
Managing travel arrangements that includes airline, hotel, and ground transportation, and prepare itineraries for the SVP and others as assigned
Greeting and assisting vendors and clients, including providing basic business hospitality. Arranging travel and accommodations for out-of-town VIP visitors
Interacting with members of the Padres organization on a daily basis with regard to dealings with the internal and external clients
Attending meetings and taking notes as required to brief the SVP when necessary
Participating in planning special events and hospitality for internal and external clients
Arranging external facilities as necessary for meetings and events for internal and external clients
Representing the Club in a positive and professional manner at all times
Other duties as assigned

Your areas of knowledge and expertise that matter most:

Proficient computer skills including experience with MS Office products such as Word, Excel, Outlook, PowerPoint, and general knowledge of basic office equipment including copier, laser printer, telephone, and computer
Possess strong communication skills, both written and verbal, and effectively work well with others in a collaborative, respectful manner
Exceptional time management and organizational skills with capacity to handle high volumes of detailed work, multi-task and manage projects on strict deadlines
Maintain professional demeanor with a high degree of discretion, integrity, and accountability
Maintain consistent, punctual, and reliable attendance

You will be required to meet the following:

Must be at least 18 years of age by the start of employment
4-year Bachelor’s Degree, or education equivalent, preferably in Business, Hospitality, or related field
Minimum 3 years previous administrative experience in an office setting. Experience working with an executive or manager is preferred
Fluently bilingual in English/Spanish a plus
Able to work flexible hours including Special Events, Padres home games, evenings, weekends, holidays and extended hours as needed
Able to travel as needed
Minimum physical requirements: able to travel to and gain access to various areas of the ballpark for prolonged periods of time during games and events; able to lift and transport up to 25 pounds
As a condition of employment, you must successfully complete all post-offer, pre-employment requirements, including but not limited to a background check

Pay and additional compensation:

Per the California pay transparency law, the base pay range for this full-time position is $55,000 to $65,000. This position is expected to receive overtime. As a candidate for this position, your pay and related elements of compensation will be contingent upon your work experience, education, job-related skills and any other factors the San Diego Padres considers relevant to the hiring decision for this position.

In addition to the base pay, the Padres believe in providing a very competitive and generous compensation and benefits package for its employees.
