Briefly describe the position responsibilities: The HR Assistant must be a personable individual who enjoys interacting and connecting with people on a day-to-day basis, as they will be in-office 5 days each week, at our front desk, greeting visitors and colleagues. This part-time position will consist of a 27.5 hour (5.5 hours per day) work week and requires people skills and an elevated level of professionalism due to the handling of confidential information. This position is responsible for providing administrative support and clerical duties in the HR department.

Essential Duties and Responsibilities include the following: (additional duties may be assigned)

- Warmly and professionally welcome colleagues and visitors into the building; ensure that visitors feel welcomed and determine nature of business and announce visitors to appropriate colleague

- Sort incoming and inter-office mail for delivery to appropriate colleagues

- Assist with planning and coordination of company activities

- Create monthly Anniversary cards

- Purchase and distribute Costco Gift of Membership gift cards to current employees and new hires

- Assist with recruiting efforts:- post open job positions

- schedule interviews

- correspond with candidates

- create EEO-1 reports

- track open positions and applicants

- Order background checks for new hires via Validity

- When needed, coordinate travel, including hotels, airfare, ground transportation, for out-of-town candidates. This includes coordinating complex interview schedules and providing detailed itinerary.

- Draft and distribute New Hire Checklists to internal partners

- Maintain and publish monthly Org Charts and Company Directory

- Create Welcome gifts and Onboarding Notebooks for new colleagues

- Establish and communicate with Welcome Colleague for each new hire

- Assist in scheduling new hire onboarding processes (ie new hire paperwork with HR Coordinator, building tour and Onboarding Notebook Review with Culture Conversation Leader, etc.)

- Submit Form I-9 via eVerify website for each new hire

- Prepare new hire packets for HR Coordinator

- Assist with maintaining of company-wide Job Descriptions

- Create employee files for new hires

- Maintain filing of employee documents for HR

- Assist with reconciliation of monthly benefit carrier invoices and Cobra payments

- Place floral orders when needed for birth of baby, passing of family member, etc.

- Other clerical and support duties as assigned

Qualifications:

- Must be able to manage all information appropriately - including sensitive and confidential information

- Excellent people skills and people oriented

- Must have the ability to multitask and work independently without a lot of direction

- Able to work as a team member and willing to learn new things

- Excellent attention to detail

- Willing to be flexible and do whatever it takes to get the job done. Be proactive and take initiative.

Education/Experience:

- Minimum high school diploma or GED; Associates degree preferred

- One - three years of administrative/clerical/receptionist experience a plus

- Previous HR experience a plus

- Proficient in Microsoft Office Suite including Outlook, Word, Teams and Excel. Knowledge of Microsoft Visio, and Adobe Acrobat DC a plus.

The noise level in the work environment is typically low to moderate.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to manage or feel; reach with hands and arms and talk and hear. The employee is occasionally required to stand; walk and stoop, kneel, or crouch. Specific vision abilities required by this job include close vision, peripheral vision, and ability to adjust focus.
